Privacy Policy — Pay My Business
Last updated: 7 September 2026
1. About this policy
Pay My Business (Pay My Business Pty Ltd, ABN 94 694 894 436, "we", "us", "our") is committed to protecting your personal information and handling it in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
This policy explains what personal information we collect, why we collect it, how we use and disclose it, how we store and protect it, and how you can access, correct, or complain about our handling of it.
By using our website, products, or services, you agree to the collection and use of your personal information as described in this policy.
2. What personal information we collect
Depending on how you interact with us, we may collect:
- Identity and contact information — name, business name, ABN/ACN, email address, phone number, and postal or business address.
- Account and business information — details you provide when signing up, including your business type, trading names, and the information required to set up and operate your account.
- Information about your customers — where you use our credit management, terms of trade, or verification services, we collect and process information about the individuals and businesses you transact with, so that we can provide those services to you. We do this on your behalf and for your use, to help you verify and manage your own customers.
- Verification information — where our services require it, information used to verify the identity and details of the customers and entities you deal with, and to meet applicable legal and regulatory obligations.
- Payment information — payment method details necessary to process billing and payments. Card and bank account details are handled by our third-party payment processors and are not stored in full on our own systems.
- Technical and usage information — information automatically collected when you use our website or services, such as IP address, device and browser information, and how you use the service, including through cookies and similar technologies.
3. How we collect personal information
We collect personal information:
- Directly from you, when you sign up, complete forms, communicate with us, or use our services.
- From individuals who interact with forms or documents you send them using our services (for example, when your customer signs your terms of trade).
- From third-party and public sources where relevant to our services, including public and government registers (such as the Australian Business Register) and connected third-party platforms you authorise us to access (such as your accounting software).
- Automatically, through your use of our website and services.
4. Why we collect, use, and disclose personal information
We collect, use, and disclose personal information to:
- Provide, operate, and improve our products and services.
- Set up and manage your account and process billing and payments.
- Enable the credit management, terms of trade, and verification functions you use, including verifying and presenting information about the customers and entities you deal with, so that you can make your own informed decisions.
- Communicate with you about your account, our services, and (where you have not opted out) relevant updates.
- Meet our legal, regulatory, and compliance obligations.
- Detect, prevent, and address fraud, security issues, and misuse.
We present information to you to support your own decisions. We do not make credit, trading, or business decisions on your behalf, and we do not make those decisions for you or influence them — those decisions are yours.
5. Disclosure to third parties
We disclose personal information to third parties who help us provide our services, including:
- Cloud and hosting providers used to run and store our services.
- Payment and direct-debit processors (for billing and, where used, transaction processing).
- Communications providers (for sending email and SMS, and for phone-number verification).
- Connected accounting, business, and job-management platforms that you authorise us to integrate with.
- Government and public registers, and regulatory bodies, where required to provide our services or to meet a legal obligation.
Where you choose to connect your own third-party account (for example, connecting your own email or accounting account so that our services work with it), the relationship with that provider is directed by you, and information shared through that connection is handled under that provider's own terms as well as this policy.
We do not sell your personal information, and we do not disclose personal information about individuals to third parties for our own commercial benefit.
6. Overseas disclosure (APP 8)
We host and store our core systems and data in Australia.
Some of the third-party service providers we rely on to deliver specific functions — such as payment processing, certain communications and verification services, and some data-processing services — may store or process personal information overseas. Where that occurs, the country most likely to be involved is the United States, and personal information may also be processed in other countries where our service providers operate.
Where we disclose personal information to an overseas recipient, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles. By using our services, you acknowledge that your information may be disclosed to and processed by service providers located overseas.
7. Credit-related information
Some of our services involve credit information and credit-related personal information. This type of information is subject to additional protections under Part IIIA of the Privacy Act 1988 (Cth) and the Privacy (Credit Reporting) Code. Where we handle credit information, we do so in accordance with those additional obligations.
8. How we store and protect your information
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure, including through technical and organisational security measures. No method of transmission or storage is completely secure, but we work to protect your information and to hold it only as long as necessary for the purposes described in this policy or as required by law.
9. Cookies
Our website uses cookies and similar technologies to operate the site, understand usage, and improve your experience. You can control cookies through your browser settings, though disabling them may affect how the website works.
10. Accessing and correcting your information
You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, or misleading. To make a request, contact us using the details below. We will respond within a reasonable period. In limited circumstances we may decline a request, in which case we will explain why.

If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
